#  Outgoing Loan Review 

 



 A review of all works being requested by another campus location or external institution with the Registrar/library staff performing registrarial functions and stakeholders is recommended to assess the condition of collections, determine the overall needs of the loan, and if the library will approve the loan request. Outgoing loan stakeholders typically include representatives from Collections (Collection Manager, Curator, Bibliographic/Subject Specialist), Conservation (e.g., format-specific Conservator).

 Incoming loans do not require a loan review, but it is recommended that an incoming condition check form be completed for each work. In addition, the library may choose to organize a meeting with stakeholders (e.g., Registrar/staff performing registrarial functions, Collection Manager/Curator/Bibliographic/Subject Specialist, Conservator (format-specific, to complete incoming condition check).  For the review, the stakeholders should consider the following:

- Condition of work
- Value/historical significance/rarity of individual works
- Previous exhibition history
- Accuracy of documented provenance information for individual works and risk of an outside claim of ownership
- Anticipated use of the work that might conflict during the loan period
- Value of loan prospectus/proposal or exhibition
- If the use of another copy at Harvard or facsimile will meet the needs of the loan or exhibition
- Inclusion of additional stakeholders if relevant (e.g., Imaging Services, AV Coordinator, Digital Project Coordinator, Designer, as well as relevant input from guest curators, donors, or school Deans)
